Q: How do I know if I have PolyData or WTS Accounts?

  • If you have used Window Terminal Services (and have an icon on your desktop called CMS-WTS.rdp) in the past, you may only need to request a PolyData account.
  • Contact the CMS Call Center at 756-7000, Opt 3. The Service Desk can verify whether you already have an account and can forward a request for you if you don’t.

Q: What is my CMS Windows Terminal Services (CMS-WTS) User Name/Password?

  • Your WTS User Name is your short Cal Poly User Name (for example: jmustang). If you do not know your WTS password, contact the CMS Call Center 756-7000, Opt 3.

Q: How do I change my WTS Password?

  • The very first time you log into WTS, you will be prompted to set a new password.
  • After the initial login, if you know your current WTS password, you can change it.
  1. Log into Windows Terminal Services
  2. Choose the Start button on the WTS Desktop
  3. Choose Windows Security from the menu
  4. Choose Change Password
  5. Enter old password
  6. Enter new password and confirm

Q: What is my PolyData User Name/Password?

  • Your PolyData user name for the wrhsprod.oce environment is your short Cal Poly User Name (jmustang).
  • If you do not know your PolyData password, contact the CMS Call Center 756-7000, Option 3.

Q: How do I change my PolyData / BrioQuery Password?

If you know your current PolyData password, you can change it after you log in to BrioQuery. Rules for PolyData passwords are slightly different from rules for Cal Poly passwords:

  • Do not start with a numeric character.
  • The password may contain from 8 to 30 characters; 8 characters are recommended.
  • Use alphabetic or numeric characters.
  • Avoid using special characters like space, *, ', ", #, _, @, $, etc.
  • Avoid using names, common words, or easily guessed numbers (such as birthdays or phone numbers) to make the password more difficult to guess.
  • Certain ORACLE database reserved words are disallowed, for instance "schema".
    1. Log into WTS.
    2. Launch BrioQuery.
    3. From the Data Model menu, select Table Catalog.
      A Login prompt will appear.
    4. Enter your PolyData user name and password to login to BrioQuery.
    5. From the Edit menu select, choose Change Database Password.
    6. Enter your current PolyData password.
    7. Enter new password twice in the two fields provided and click the OK button.
    8. The PolyData password has been changed successfully when the Change Database Password dialog box closes.

Using Windows Terminal Services (WTS)

Q: How do I minimize/maximize my WTS window?

  1. Right click on the CMS-WTS icon on your desktop
  2. Choose Edit
  3. Choose the Display tab
  4. Adjust the Remote Desktop screen size

Q: How do I close the WTS window?

  1. It is important that you close active applications and shutdown your Terminal Services session properly.
  2. Exit BrioQuery by selecting Exit from the File menu.
  3. Select the Start button in the lower left corner.
  4. Click the Log Off button.
  5. When prompted, click the Log Off button on the Confirmation message.

Q: Do I have to over-write the “jmustang” user name EVERY time I log into WTS?

  1. Right click on the CMS-WTS icon on your desktop.
  2. Choose Edit.
  3. Choose the General tab.
  4. Enter your short user name.
  5. Choose Save As.
  6. Save in Desktop with the filename CMS-WTS.rdp (this is the default).
  7. Choose “OK” to overwrite the existing file.
  8. Close the window and launch from your desktop icon.

Q: How do I get training to use BrioQuery and the new Student Administration Tables and Queries?

  • On-line documentation for all aspects of BrioQuery usage is available at the PolyData website under BrioQuery Support.
  • BrioQuery classes are no longer offered.
  • If you need individual assistance, contact the CMS Call Center at 756-7000, Opt 3.

BrioQuery Questions

Q: How do I get my BrioQuery Reports and access to new Student Administration Tables in BrioQuery?

To access the new queries, you will need a Windows Terminal Services account and a PolyData account. If you are unsure if you have these accounts, contact the CMS Call Center, 756-7000, Option 3.

Q: Why can’t I use BrioQuery on my desktop for the new SA Tables?

The BrioQuery software that is loaded on your workstation would need extensive updates to be fully functional and secure with the PolyData Warehouse. Windows Terminal Services enables Cal Poly to update and distribute software much more cost effectively.

Q: I’m trying to run a Query, but I don’t see the new SA Tables / Repository Queries I expect to see.

  • Be sure you logged into the PolyData Warehouse with your PolyData user name and password.
  • If you are logged in correctly, make sure you are looking for queries/tables that are ready for general use. Not all tables are built or are available yet. For a list of available queries visit the Query Definitions page.
  • For available Tables, visit the Table Definitions page.
  • If you are sure you are logged in correctly and are sure the queries/tables are available, you may not have been given permission to the table (based on your on-line access to PeopleSoft.) Please contact the CMS Call Center at 756-7000, Opt 3.

Q: Why does my screen freeze in Brio sometimes?

Sometimes the Brio application does not correctly redraw the screen, even though actions have taken place. To get the screen to refresh, click on a Brio menu title like "Windows" or "Tools". The screen will redraw and you can continue.

Q: How is Security Access for PolyData SA Tables Determined?

Authorization to access the new Student PolyData tables is based on on-line access to the PeopleSoft Student Administration system. In order to determine who has access to the PolyData tables, the tables are mapped to on-line panels within PeopleSoft that contain the same type of information. Based on this mapping, the security tables from PeopleSoft are brought into the data warehouse to get the list of users authorized to view the corresponding Student PolyData tables. This information is then processed to grant the appropriate security access within the data warehouse.

Q: Will my old queries still work?

  • Old queries may work if the table name and field names have remained the same, but they should be resynched to the database
    • Load the query
    • From the Datamodel menu, select Sync to Database
  • Queries referencing tables that no longer exist will have to be rebuilt. Consult migration aids on the Table Definitions page.

Q: I can’t print my Query results or reports.

  • You may need to update the CMS-WTS "Microsoft Remote Desktop Connection 'Engine'" that is resident on your workstation.
  • Go to the Cal Poly CMS-Windows Terminal Services website.
  • In the Software Download Section: "Microsoft Remote Desktop Connection 'Engine'," choose the link for your operating system.
  • Save it to your desktop.
  • If this does not work, you may be using a non-standard printer that is not recognized by Window Terminal Services. In this case, your options are to try at a different location (with different default printer options) or export the report to Excel.

Q: Can I run Ad Hoc Reports?

  • Data is still being validated and the tables are still under development.
  • Until tables are available for Ad Hoc Report development, please complete the Ad Hoc Data Request form and send to the address indicated on the form.

Q: How do I submit an Ad Hoc Request for student information?

Q: Why do I see "unknown student" in a class list?

A small number of students may be listed in SA_CLASS_LISTS_VW with a name of "(unknown student)". These are students who have multiple emplid's in PeopleSoft, so that their names cannot be correctly resolved through Identity Reconciliation. These cases will be resolved when their records in PeopleSoft are merged to one emplid. Meanwhile, they are listed in this table as "(unknown student)" so that your class counts will be complete.

Q: Why is there no instructor named for a class? I can see the emplid, but there's no name.

A number of names of instructors for whom we have emplid's are not listed in these views. These are persons for whom we have insufficient data to include them in Identity Reconciliation. When we have sufficient data available from the HR PeopleSoft data source, we will be able to identify these instructors by name.

(Other classes may be listed without any instructor emplid; that would indicate that an instructor is not yet assigned in SA PeopleSoft.)

Q: I can log into the PolyData warehouse, but I don't see Student Administration tables, or I don't see the ones I need, or I can't run the queries I need to run. What's the problem?

Authorization for viewing and using SA warehouse data is based on access to corresponding PeopleSoft SA panels. You need that authorization first, before you can see any SA tables. Also, if PolyData tables change (new data is added), this could affect users' access privileges. While we will try to minimize the impact to users, please be aware that your access to PolyData warehouse tables is tied to your PeopleSoft access privilege.
