Student Administration Repository Query Definitions
This page contains links to Excel files that describe the student administration repository queries.
Queries are posted to the Brio Repository "Unlocked." Items on the Request line or Limit line may be modified before running the query to achieve different results. Students whose FERPA flag is set to Y should be excluded from all non-academic related correspondence.

| SA-Advising Labels | Generates name, plan, emplid, and admit term labels by college or department, for use by advising. Export for data merge with or without column headers. |
| SA-AP/DQ | Students with an academic standing that indicate they are on probation and/or subject to disqualification as of the last graded term. Only includes students enrolled in the last graded term. |
| SA-Class List by Instructor | Produces class lists. Prompts for Class Term and Instructor name. A detail classlist report can be printed. Export information from the Results tab. |
| SA-Class List - Enrolled | Class list of students enrolled in course. Counts of enrolled students by course. Course detail report with meeting days, start/end time, location, capacity, instructor. |
| SA-Class List - Waitlist | List of students on a class waitlist with email address and preferred phone number (detail & pivot reports). Counts of waitlisted students by course. |
| SA-Class List - Dropped | Class list of students dropped from course. Counts of dropped students by course. |
| SA-Class List - Withdrawn | Class list of students withdrawn from course. Counts of withdrawn students by course. |
| SA-Class Scheduling Info | Class schedule and planning query modeled after report from the Scheduling office. Report all class section information for a given college, department, and term. Information is available on current, future and prior terms. |
| SA-Commence1 | Commencement Bulletin - Students eligible to participate in a specific commencement ceremony. Reports: Alpha list; Count by College/Dept; Mail Merge; GPA listings. Fall ceremony data available early November; Spring ceremony data available early May. Use SA-Expected Grad query for graduation planning purposes or to monitor students who have applied to graduate in an upcoming term. |
| SA-Commence2 | Commencement Bulletin - Degree Checkout Status within College, Department. Count and Alpha list of students by Checkout Status. Fall ceremony data available early November; Spring ceremony data available early May. Use SA-Expected Grad query for graduation planning purposes or to monitor students who have applied to graduate in an upcoming term. |
| SA-Commence3 | Commencement Bulletin - Undergraduate students eligible to participate in a specific commencement ceremony with a GPA greater than 2.99. Reports: Alpha list; Count by College/Dept; Mail Merge; GPA within Conc. Fall ceremony data available early November; Spring ceremony data available early May. Use SA-Expected Grad query for graduation planning purposes or to monitor students who have applied to graduate in an upcoming term. |
| SA-Commence4 | Commencement Bulletin - Postbaccalaureate students eligible to participate in a specific commencement ceremony. Reports: Alpha list by Dept; Count by College/Dept; Mail Merge. | SA-Course Daily Enrollment - Course | Daily enrollment totals for a particular course by term, including number enrolled, dropped, waitlisted and withdrawn.
Totals include UGRD or PBAC enrollment sections only. Courses with any enrollment activity are listed, even if cancelled. Reports: Pivot without Waitlist, Pivot with Waitlist, Detail by Date |
| SA-Course Daily Enrollment - Section | Daily enrollment totals for a particular class and section, including enrolled, dropped, waitlisted and withdrawn. Courses with any enrollment activity are listed, even if cancelled. Reports: Pivot without Waitlist, Pivot with Waitlist, Detail by Date. |
| SA-Course Enrollment Hist - Course | Enrollment totals for a particular class and section by term, including students enrolled, dropped, waitlisted and withdrawn. Totals only include enrollment sections for Undergrad or Postbaccalaureate classes. Reports: Pivot by Term, Detail by Term. |
| SA-Course Enrollment Hist - Section | Enrollment totals for a particular class and section by term, including students enrolled, dropped, waitlisted and withdrawn. Totals are available for all sections of Undergrad and Postbaccalaureate classes. Reports: Pivot by Term, Detail by Term. |
| SA-Course Graded Status | Grade roster approval status for a course by term, college, and department. Reports: Pivots by Grade Approval Status, Instructor. Detail by Class. |
| SA-Course Stats | Course information including meeting days, start/end time, location, course capacity, room capacity, instructor, counts of enrolled, waitlisted, dropped, withdrawn. |
| SA-Dean's List | Quarterly listing of students with twelve or more graded passed units in the last graded term who have a 3.5 gpa or better for that term. Only matriculated Undergraduate (UGRAD), Undergrad Continuing Ed Degree (UEXDG), and Postbaccalaureate 2nd Degree (PB2ND) students are eligible for Dean's List. |

| SA-Enrolled Current Term | All Students Currently Enrolled - Prompts for Career, Major and FERPA flag. Some fields from the table on included in the Request line. Add any extra fields to the Request to meet desired needs. 3 Reports included: Enrollment Stats, Email addresses, Primary Mail addresses. |
| SA-Enrolled Next Term | All Students Enrolled in the Next term following the current term. Prompts for Career, Major and FERPA flag. Some fields from the table on included in the Request line. | SA-Expected Grads | Students expecting to graduate in a current or future commencement cycle, based on their self-initiated evaluation in any career program plan (not just primary). A given student may have multiple rows for multiple programs. Reports: Lists by Dept, Major; Count by College, Dept; Mail Merge; GPA listings. |
