URM Trends

The purpose of this dashboard is to display an IR multi-cohort of students and view underrepresented minority graduation and persistence rate trends as-of a specific Term.

The URM Trends dashboard provides data about groups of students at the University level, College level, Department level and Major level. Please read the URM Trends prompt below to see how to best use the various dashboard filters.

Persistence is measured by the number of years following a student’s first admit year (i.e. a student who is admitted in Fall of 2011 has a 4 year Persistence if they are enrolled in Fall of 2015 or graduated prior to the Fall of 2015).

Searches can be filtered by the Cohort, As-of Term, College, Department, and Major. Note that by clicking on the “next” option, additional filters of: Gender, Federal Ethnicity, Avenue of Admissions, Admissions Residency, and Geographic Area are available.

  • These dashboards are based on live data warehouse information and will vary slightly from the IR Fact Book.
  • The IR Fact Book is static point in time snapshots typically taken at Census.
  • This information should NOT be used as official Cal Poly numbers.
  • The Official Cal Poly University Statistics are published by the Institutional Research Department.

Institutional Research (IR) Terminology

Cohort - The results generated on these pages are based on groups of students called a COHORT. A cohort is all Students who enrolled in a Summer or Fall Quarter of a specific year. Typically referred to as First-Time Freshmen or FTF Cohort.

Graduation Rate - This is the breakdown of the percentage of students from a cohort that graduated in four, five or six years.

FTF or First-Time Freshmen Cohort - Students who enrolled for the First Time in their college career with 12 units or more. These students will have enrolled in the Fall Quarter of a specific year. On the dashboard prompts you will see: First-Time Freshmen Fall XXXX (this is the year of admittance).

NTR or New Transfers Cohort - Students who started college elsewhere and have subsequently transferred to Cal Poly. On the dashboard prompts you will see: New Transfers (this is the year of admittance).

Adjusted # - This reflects the change in size for a cohort. At the university level, students who pass away or leave for military service are removed from a cohort. At a college and department level, there are adjustments when a student changes college/department due to a major change (imports and exports).

Dismissed - Students who were disqualified from Cal Poly for academic or other reasons.

Not Currently Enrolled - Students who did not graduate, who were not still enrolled, are not excluded, and were not dismissed. 

Still Enrolled - Students currently enrolled.

Grad to Date - The number of students that have graduated.

Exclusions - Students who were originally part of a cohort can become exclusions due to death or military service. Exclusions are subsequently subtracted from the original cohort.

Imports - Students from the original cohort who changed majors into the program from the “As-of Term” being selected.

Exports - Students who started in one program but changed to a different major from the “As-of Term” being selected.

URM - As of Fall 2009, an under-represented minority student (URM) is defined as a student whose race/ethnicity is Hispanic, African American, Native American, Hawaiian/Pacific Islander, or multi-racial with at least one of those four ethnicities.

Federal Ethnicity - Ethnic origin is reported according to Federal OMB Standards.

Avenue of Admission

  • Early Decision
  • Academic MCA Run
  • Mandated MCA Run
  • Admissions Office Prerogative
  • Other Avenues (EOP, Athletes, International, Faculty/Staff Dependent, etc.)

Admissions Residency - Determined based on whether a student is resident of California or not, used for the purpose of tuition calculation.

Geographic Area  - Denotes the region “of origin” at the time of a student’s application to Cal Poly.

Filters can be set to narrow the population down to your specific need.  The general rule is to start by applying the fewest filters possible, and then adding additional filters until you are satisfied with your results.  After making your selections, press Apply to change the display. 

Required fields are designated by the *asterisk and defaults have been populated for the Fall term which will display data for a 4, 5 and 6-year graduation/persistence rate.

*Cohort Prompt - Select from the drop-down menu the cohorts you wish to display data. This is a required field and has default terms to provide 4, 5 and 6-year graduation/persistence rates.

*As-of-Term - This is a required field. Select from the drop-down menu as of what term you wish to display data.

College - This is not required but you may select the college to narrow your results.

Department - This is not required but you may select the Department to narrow your results.

Major - This is not required but you may select the specific major to narrow your results.

“Next” Prompt - The following additional filters are available by clicking on the “Next” option: Gender, Federal Ethnicity, Avenue of Admission, Admissions Residency, and Geographic Area

Dashboard Prompt Tips

  • If you are not obtaining the desired results, or the population returned seems suspect, be sure to "Clear My Selections" before generating the report again.
  • Click the Apply button after making all prompt selections.
  • If after making selections in the prompt the screen does not refresh, you can click the Apply button again or click the Refresh link.
  • Refer to the Tool Help and Training section for more information on how to modify page defaults and create frequently used selections.

Removing Filters

If you are not obtaining the desired results, or the population returned seems suspect, be sure to Clear My Selections before generating the report again. The Clear My Selections button is just below the Important Information box in the upper right corner of the dashboard.

Download Options

Several options are available for downloading a request.

  • PDF – Downloads the data into a portable document format (PDF).
  • Excel – Downloads the fields selected in the current view.
  • PowerPoint – Downloads the current view.
  • Web Archive – Downloads the fields selected in the current view into web format.
  • Data – Downloads the data in the current view

Save Custom Reports

You have the option to save your customization if you generate the same or similar report more than once. In the upper right corner of the page is the Page Options icon.

After you create a report that provides you with the output you need, you can open the Page Options and choose Save Current Customization. This will open a pop up that allows you to name the report as you wish.

When you return to the dashboard again the next time, you can retrieve your saved customization with the Apply Saved Customization option. Choose the report you wish to generate again, and update your prompt(s) as needed, such as the Expected Grad Term.
